1. Introduction

This HR Policy Manual outlines the rules, regulations, and standards for all employees of the company. It ensures transparency, consistency, and a healthy work environment.


2. Employment Policies

2.1 Working Hours

  • Standard working hours: 9:30 AM – 6:30 PM

  • Lunch break: 1 hour

  • Employees must follow attendance and shift timings strictly.

2.2 Probation Period

  • All new employees serve a 6-month probation.

  • Confirmation depends on performance and company requirements.

2.3 Attendance & Punctuality

  • Employees must mark daily attendance on the company system.

  • More than 3 late marks in a month will result in a warning.

  • Habitual lateness may lead to disciplinary action.

2.4 Work From Home (WFH)

  • WFH allowed only with manager approval.

  • Not applicable during probation unless approved under special circumstances.


3. Leave Policies

3.1 Types of Leave

  • Casual Leave (CL): 1 per month (12 yearly)

  • Sick Leave (SL): 1 per month (12 yearly)

  • Earned/Privilege Leave (EL): After 12 months of service

  • Unpaid Leave (LWP): If no leave balance

  • Maternity Leave: 26 weeks

  • Paternity Leave: 5 days

3.2 Leave Rules

  • Prior approval required for all leave except emergencies.

  • Sick leave for more than 2 days must be supported with a medical certificate.

  • Unapproved leave will be treated as Leave Without Pay.


4. Code of Conduct

4.1 Professional Behavior

  • Maintain professionalism and respect with colleagues and clients.

  • Abusive language, harassment, discrimination, or misconduct is strictly prohibited.

4.2 Dress Code

  • Smart casuals on weekdays.

  • Fridays may follow relaxed dress code.

4.3 Company Property

  • Employees are responsible for all company assets assigned to them.

  • Any damage due to negligence must be reported immediately.


5. Salary & Payroll Policies

5.1 Salary Structure

  • Salary is credited on the 1st–5th of every month.

  • Salary includes components like Basic, HRA, Allowances, Incentives, etc.

5.2 Deductions

  • Deductions will be made for:

    • Provident Fund

    • Professional Tax

    • TDS

    • Unpaid Leaves

5.3 Overtime

  • Overtime must be pre-approved.

  • Comp-off may be provided for extra work hours.


6. Performance & Appraisal

6.1 Performance Review

  • Conducted annually or as per company policy.

  • Based on:

    • Work quality

    • Deadlines

    • Attendance

    • Attitude & teamwork

6.2 Promotion & Increment

  • Based on performance, behavior, and business needs.

  • No automatic increment; it is merit-based.


7. IT & Security Policies

7.1 System Usage

  • Office systems are for authorized tasks only.

  • Downloading pirated or harmful software is prohibited.

7.2 Data Privacy

  • Employees must maintain confidentiality of:

    • Company data

    • Client information

    • Project details

7.3 Internet & Email Usage

  • Should be used for official purposes only.

  • Misuse of email for personal or illegal activities is prohibited.


8. Disciplinary Policies

8.1 Misconduct Includes:

  • Theft or fraud

  • Harassment

  • Violence

  • Data breach

  • Violation of company rules

8.2 Disciplinary Actions

  • Verbal warning

  • Written warning

  • Suspension

  • Termination


9. Exit Policy

9.1 Resignation

  • Employee must serve a 30-day notice period (or as per appointment letter).

  • Short notice may result in salary deduction.

9.2 Full & Final Settlement

Includes:

  • Pending salary

  • Leave encashment

  • Bonus (if applicable)

  • Recovery of dues

9.3 Exit Interview

  • Conducted to understand employee experience and feedback.


10. Anti-Harassment Policy

  • Zero tolerance for:

    • Sexual harassment

    • Bullying

    • Discrimination

Company follows guidelines under POSH (Prevention of Sexual Harassment) Act.
